Meeting status

C
Written by Customer Success

Every meeting is Pending, Accepted or Canceled. The status shows in the chat header under the person's name, on meeting cards (including My Schedule) and on the Schedule timeline. A meeting the organizer is still preparing as a draft doesn't show anywhere in the app until the organizer confirms it.

Where to find it

  • Chat header: open the meeting from Networking > Chats or from My Schedule. The line under Meeting with <first name> reads Accepted, Pending or Canceled.

  • Meeting cards: the pill reads Accepted Meeting, Pending Meeting or Canceled Meeting. Next to it: Inbound (they asked you), Outbound (you asked them) or Arranged by organizer (or the name your organizer gave it).

  • Schedule (or the name your organizer gave it): the tile in the networking slot reads New request (waiting for your answer), Reschedule (they proposed a new time) or Pending (waiting for their answer). Once accepted, it reads the table, for example Table 12, or the name the organizer gave the table.

  • People card: the button reads New request, Waiting or Meeting details.

Pending

The request has not been answered yet. The chat shows Meeting request sent (you asked) or Meeting request received (they asked). The slot is reserved for both of you until someone answers.

  • You sent the request: you can write 1 reminder message, then the chat is paused until the other person replies. You can still Cancel meeting or Reschedule from the ⋯ menu. See Waiting for an answer to your meeting request.

  • You received the request: the chat shows Accept and Decline at the bottom and ⋯ for Reschedule. Writing a message in the chat also opens it for both of you.

A reschedule request is also Pending. The chat shows Meeting rescheduled with "<name> wants to reschedule", and the person who did not propose the new time has to Accept or Decline it.

Accepted

The meeting is confirmed. The chat is open for both of you and shows Meeting accepted.

  • If the meeting has a time slot, Meeting details at the top of the chat shows the time, the date and the area. For in-person meetings it also shows the table (or the organizer's name for a meeting point). If the organizer named a reserved table, for example "VIP", the name shows too, and only the name when the organizer hides the number. The card in My Schedule shows the same.

  • Every confirmed meeting has a video room. Select the camera icon next to the message box or Join video call in the ⋯ menu. If neither of you attends in person, the meeting card also has a Join button. In the web app on a window 1024 px or wider, the call opens in a pop-up window.

  • If the meeting has a time slot, both of you get a push notification 5 minutes before the start: "Meeting in 5 minutes with <name>".

  • Either of you can still Reschedule or Cancel meeting. See Cancel or reschedule a meeting.

If every table was taken when the meeting was accepted and the organizer allows overbooking, the meeting has no table. The chat shows a notice from the organizer (the default is "Arrange custom location"). Agree on a spot in the chat or meet in the video room.

Canceled

The meeting will not happen. The chat shows Meeting canceled ("<name> canceled the meeting") or Meeting declined ("<name> declined the meeting"), and the ⋯ menu disappears.

  • The slot and the table are free again for both of you.

  • The card disappears from My Schedule. The conversation stays in Networking > Chats.

  • The chat stays open unless the person who canceled or declined turned on Close conversation. Then the message box reads "<name> closed the chat. Participants can't send messages."

  • A meeting canceled by the event team shows "Meeting cancelled by the event organizer" from Event organizer.

  • To meet after all, open the person's profile and select Suggest meeting again.

Networking tab filters

  • Meeting requests lists only requests that wait for your answer: new requests and reschedule proposals from other people. The row reads "<n> requests awaiting your response." or "No pending requests." The list has a Change my availability button.

  • Chats lists every meeting and chat, newest message first, with the filters All, Unread, Pinned and Hidden. Press and hold a chat (in the web app on a wide window, right-click it) to Pin it or Hide & Mute it. Hidden chats stop sending you push notifications.

Notifications

For every status change the other person gets a push notification and an email. The headings are "Meeting request from <name>", "<name> accepted your meeting request", "<name> declined your request", "<name> cancelled your meeting" and "<name> rescheduled your meeting". Push notifications need notifications turned on for the app. Emails stop if you unsubscribed from Brella emails. See Meeting and chat notifications.

Troubleshooting

"This meeting couldn't be confirmed" / "You've reached the maximum number of accepted meetings."
Your ticket caps the number of confirmed meetings. Cancel a meeting to free a spot, or ask the organizer. See Meeting requests remaining.

"Unfortunately, this meeting couldn't be confirmed" / "<name> has reached the meeting limit for this event."
The other person is at their cap. Select Send message to leave a note in the chat; the request stays pending until a spot opens.

"<area> is fully booked on <date> at <time>" / "To confirm this meeting, please choose a different time or location"
Every table in that networking area is taken for that slot and the organizer does not allow overbooking. Choose Reschedule to pick another slot or area, or Decline the request.

"Could not accept the meeting" / "You cannot accept this meeting as you are not available for the selected timeslot"
One of you got another meeting at that time after the request was sent. Reschedule to another slot. The same message names the other person when they are the one who is no longer free.
