Cancel a meeting or propose a new time from the ⋯ menu in the meeting chat. The other person gets a push notification and an email with your message.
Where to find it
Open the meeting from Networking > Chats, from the Meeting requests list, or by selecting the meeting card in My Schedule.
Select ⋯ in the chat header. On meeting cards the same menu is behind the ⋯ button.
Cancel a meeting
Select ⋯ and then Cancel meeting.
Edit Your message. The app prefills "Hi <name>, I'm not able to meet during this time. I hope you have a great event!"
To stop the other person from writing to you afterwards, turn on Close conversation. It is off by default, so the chat stays open.
Select Cancel meeting.
The app shows "Meeting canceled". The chat shows Meeting canceled and the status changes to Canceled. The slot and the table are free again for both of you, and the card disappears from My Schedule. If you sent the request, it goes back to your request count. The other person gets "<name> cancelled your meeting".
Reschedule a meeting
Select ⋯ and then Reschedule.
In Select time slot, choose a slot that is free for both of you. Use Sort by and Filters to narrow the list.
On Reschedule meeting, check Selected networking slot and edit Your message. The app prefills "Hi <name>, I'm more than happy to meet you, but the previous time didn't suit me. How about this?"
Select Send reschedule request.
The app shows "New time suggested". The meeting goes back to Pending with the line Meeting rescheduled ("You want to reschedule"), and the other person has to Accept the new time. The old slot and table are released. They get "<name> rescheduled your meeting".
Who can cancel or reschedule
The person who sent the request and the person who received it, for pending and accepted meetings.
If the other person proposed a new time, you see Accept and Decline instead of Cancel meeting. Declining cancels the meeting. Reschedule stays available.
Guests invited to a group meeting can't cancel or reschedule it. They answer Going? with Yes or No, and change it later with Change response.
If you received a group meeting request, declining cancels it for everyone. The screen warns "This meeting will be cancelled for all".
Good to know
Reschedule is only in the menu when the event uses networking slots. For meetings without a slot, agree on a new time in the chat.
Meetings labeled Arranged by organizer (or the name your organizer gave it) can be changed only if the organizer allows it. If you don't see Reschedule or Cancel meeting on such a meeting, the organizer has turned off changes; contact the event team.
If you reschedule your own request before the other person has answered, the chat stays paused for you. If the person who received a request reschedules, the chat opens for both of you.
Once a meeting is Canceled, the ⋯ menu disappears. To meet after all, open the person's profile and select Suggest meeting.
Declining a request you received works the same way as canceling: select Decline, edit Your message, choose whether to Close conversation, and select Decline meeting. The app shows "Meeting declined".
Company representatives with a booth see "Tap to have this meeting at your <booth>" on the Reschedule meeting screen to move the meeting to the booth.
Troubleshooting
"This timeslot is no longer available for both of you."
Someone booked one of you in the slot you chose. Go back to Select time slot and pick another one.
"Networking area is fully booked"
Every table in that area is taken for the slot you chose. Pick a slot in another area or at another time.
"The requester or receiver is registered for a session that overlaps with this meeting."
One of you reserved a seat in a session at that time, and the organizer blocks meetings during reserved sessions. A place on a waitlist or a request still waiting for approval doesn't count. Pick another slot.
"<name> closed the chat. Participants can't send messages."
The other person canceled or declined with Close conversation turned on. You can't write to them in this chat. Send a new request from their profile to start a new conversation.
