The organizer can book meetings for you, one by one or through a managed meetings program. These meetings are confirmed when they reach you, so there is no request to accept.
Where to find it
While you join the event: if the organizer already booked meetings for you, the last step is Your pre-booked meetings ("You have 3 meetings"). Swipe through them. In the web app on a wide window, they are listed one under another. Select Join the event to continue.
After you join: in My Schedule and in Networking > Chats, like your other meetings.
These meetings carry the label Arranged by organizer (or the name your organizer gave it).
How it differs from a meeting you request
Who decides: the organizer chooses the person, the time slot and, in venues with tables, the table.
Status: the meeting is Accepted from the start. Neither of you has to accept it.
Chat: the chat is open right away. It starts with a message from Event organizer: the organizer's own text, or "Meeting arranged by the event organizer".
Table: Brella assigns the table when the organizer creates the meeting, not when someone accepts. If every table in the area was taken and the organizer allows it, the meeting has no table and the chat shows the organizer's notice. Agree on a spot in the chat.
Changes: you can reschedule or cancel only if the organizer allows it.
Attend the meeting
Open the meeting from My Schedule or Networking > Chats.
Check the Meeting details card at the top of the chat for the date, time, location and table.
For a virtual meeting, select the camera icon to the left of the message box, or ⋯ > Join video call.
Reschedule or cancel
Open the meeting chat and select ⋯.
Select Reschedule or Cancel meeting.
A reschedule works like any other: you propose a new slot, and the meeting goes back to Pending until the other person accepts. See Cancel or reschedule a meeting.
If you don't see Reschedule or Cancel meeting, the organizer has turned off changes to arranged meetings. Contact the event team.
Notifications
Meetings from a managed meetings program: you get no push notification or email when they are added. Check My Schedule after the picks stage closes.
Meetings the organizer books one by one: you get a push notification, "An admin arranged a meeting for you with <name>". You also get an email, "Meeting arranged with <name> by the event organizer".
Meetings the organizer books several at a time: the organizer chooses whether to notify you. If they do, you get a push notification, "An admin scheduled a meeting for you with <name>". You also get an email for a 1:1 meeting in an area without tables, or if you attend virtually.
Before the meeting: you get a push notification 5 minutes before the start: "Meeting in 5 minutes with <name>". If you haven't joined the app yet, you get an email instead.
Good to know
The organizer can prepare meetings as drafts first. You don't see a draft until the organizer publishes it.
The organizer can add more people to an arranged meeting. If you were added as a guest, the card reads You are invited as a guest.
Reschedule appears only when the event uses networking slots, and only after the other person has joined the app.
If the other person hasn't joined the app yet, the message box reads "Chat will open when <name> joins the app."
Troubleshooting
I don't see Reschedule or Cancel meeting
The organizer has turned off changes to arranged meetings. Contact the event team. If only Reschedule is missing, the event doesn't use networking slots, or the other person hasn't joined the app.
A meeting the organizer told me about isn't in my schedule
It can still be a draft. Ask the organizer to publish it.
My meeting has no table
Every table in the area was taken when the meeting was created. Read the organizer's notice in the chat and agree on a spot with the other person.
