Reserve a seat in a session

Written by Customer Success

Some sessions need registration (RSVP). Reserve your seat from the session page. Some sessions need the organizer's approval first, and some full sessions have a waitlist. Registering also bookmarks the session, so it appears in My Schedule.

Where to find it

Open Schedule (or the name your organizer gave it). Sessions that need registration show "RSVP required" on their tile until you have a seat. In the List layout and in My Schedule, the card shows the registration message instead.

Open the session. The registration bar is at the bottom of the session page, next to the bookmark button. It works the same in the mobile app and the web app.

Reserve a seat

  1. Open the session.

  2. Read the message at the bottom, for example "This session requires registration." The organizer can change this text. If the session has a limited number of seats, the bar shows how many are left, for example "12 seats left".

  3. Select Reserve seat.

  4. Confirm:

    • Mobile app: in Reserve a seat, select Yes, reserve.

    • Web app: the browser asks you to confirm. Select OK.

The app shows "Seat reserved" and "Session added to My schedule".

If the session does not allow cancellations, the confirmation says "Please note cancellations are not allowed for this session." Reserve only if you are sure you will attend.

After you reserve

  • The message changes, by default to "You've registered for this session."

  • The bar shows Cancel RSVP and View ticket.

  • The session tile shows a check mark.

  • The session is bookmarked. It appears in My Schedule, and the app reminds you 5 minutes before it starts.

Brella does not send an email or a push notification to confirm a seat you reserve yourself.

Request a seat

Some sessions need the organizer's approval. They show Request seat instead of Reserve seat.

  1. Open the session and select Request seat.

  2. Confirm:

    • Mobile app: in Request to join session?, select Yes, request.

    • Web app: select OK in the browser's confirmation.

If the session does not allow cancellations, the confirmation adds "Please note that once approved, cancellations are not allowed."

The app shows "Request sent" and "The organizer will review your request". The message at the bottom reads "Your registration is pending approval", and the session tile shows a clock. The session is bookmarked.

When the organizer decides, you get a push notification:

  • "Your RSVP confirmed": you have a seat. The session shows as reserved, with Cancel RSVP and View ticket.

  • "Your RSVP not confirmed": the organizer declined. The message reads "Your RSVP was not confirmed" and Request seat is grayed out. You can't request this session again.

You get the same notification if the organizer turns off approval while the session has no seat left for you. The session then shows as closed, and you can reserve a seat again once one opens up.

To withdraw a request, select Cancel request and confirm (Yes, cancel in the mobile app, OK in the web app). The app shows "Request canceled". You can withdraw a request even if the session does not allow cancellations.

Join the waitlist

Some full sessions have a waitlist. Instead of Reserve seat, they show Join waitlist and how many people are on the waitlist, for example "4 on waitlist" or "No one in a waitlist".

  1. Select Join waitlist.

  2. Confirm:

    • Mobile app: in Join the waitlist, select Yes, join.

    • Web app: select OK in the browser's confirmation.

If the session does not allow cancellations, the confirmation says so. Once you get a seat, you can't cancel it.

The app shows "Added to waitlist" and "You'll be notified when a seat opens up". The bar shows your place, for example "You're #2 on the waitlist", and the session tile shows a clock. The message at the bottom is the one for closed sessions, by default "This session no longer accepts registrations." The session is bookmarked.

When a seat opens up, Brella gives it to the first person on the waitlist. You get a push notification, "A seat opened up", and the session shows as reserved.

Brella can't give you the seat if, at that moment, you have a seat in another session at the same time and the organizer does not allow overlapping reservations. The same applies to a meeting at that time, if the organizer does not allow reservations that overlap meetings. You then get the push notification "Your RSVP not confirmed" and lose your place. For an overlapping seat, the session reads "Not confirmed due to an overlapping RSVP". You can register again after you cancel the other seat or the meeting. If you join the waitlist again, you go to the end of the queue.

To leave the waitlist, select Leave waitlist and confirm (Yes, leave in the mobile app, OK in the web app). The app shows "Removed from waitlist". You lose your place. You can leave even if the session does not allow cancellations.

View your ticket

Once you have a seat, select View ticket. Your ticket shows:

  • your QR code, if the session uses QR code tickets

  • Attendee details: your picture, name, job title and company

  • Session details: the session title and subtitle

  • Add session to calendar. In the mobile app, it opens your device calendar with the session filled in; after you save, the button reads Edit calendar entry. In the web app, it downloads a calendar file (.ics).

Add session to calendar is not shown once you have set up a calendar subscription. Your bookmarked sessions reach your calendar through it. See Sync your schedule to your calendar.

Cancel your reservation

  1. Open the session.

  2. Select Cancel RSVP.

  3. Confirm:

    • Mobile app: in Cancel your RSVP, select Yes, cancel.

    • Web app: select OK in the browser's confirmation.

The app shows "Seat canceled". The session stays bookmarked. To remove it from My Schedule, remove the bookmark too.

If the session does not allow cancellations, Cancel RSVP is grayed out. Selecting it shows "Cancellation is not available for this session." Contact the organizer if you can't attend.

Sessions at the same time

If you already have a seat in a session at the same time, Reserve seat or Request seat opens Overlapping sessions with those sessions.

  • If the organizer allows overlapping reservations, the sheet reads "You are attending another session at the same time, would you like to RSVP anyway?" Select RSVP anyway to continue, or Back to session. If the new session does not allow cancellations, you confirm once more.

  • Otherwise the sheet says "In order to RSVP for the new session, you need to cancel any overlapping sessions first." Select Back to session. Open the other session, select Cancel RSVP there, then reserve the new session.

For a session with a waitlist, the sheet offers Join waitlist and Cancel. You can join the waitlist either way. If the organizer does not allow overlapping reservations, the sheet says you will only get a seat if you cancel the overlapping session first.

Only seats count. Requests waiting for approval, waitlist places, bookmarked sessions and meetings don't open this sheet.

Overlapping sessions with one session card, Back to session and RSVP anyway (needs-data: two overlapping sessions with registration, one already reserved)

At some events, the organizer does not allow reservations that overlap your meetings. Then you can't reserve a seat, request one or join a waitlist while you have a meeting or a meeting request at the same time. The organizer decides whether this applies to meetings you booked, meetings the organizer arranged, or both. The app shows "The registrant has a meeting that overlaps with this session." Cancel or reschedule the meeting first. See Cancel or reschedule a meeting.

When you can't reserve

Reserve seat (or Request seat) is grayed out when the session is full or the organizer has closed registration. The message reads "This session no longer accepts registrations." by default. The organizer can hide this message, the button, or both.

If registration closed because the session was full and the session has no waitlist, it opens again when someone cancels. The app does not notify you, so check the session again later.

Good to know

  • The organizer can show who registered. The session page then lists Attending (N) with profile pictures of people with a seat. Select a picture to open the profile, or See all for the full list (Attendees (N)) with a search field. Other attendees then see your name there too.

  • The organizer can make a session visible only to some attendees. You can't see or reserve those sessions.

  • The organizer can also register you, approve or decline your request, or remove your seat. A registration the organizer made for you shows on the session page, even if you didn't select Reserve seat.

Troubleshooting

"This session is full"
The last seat was taken while you were confirming. Check the session again later.

"Registration for this session is not open"
The organizer has closed registration for this session.

"You have already registered for this session"
You already have a registration, for example from another device. Reopen the session to see its status.

"You already have a confirmed place in an overlapping session."
You have a seat in another session at the same time, and the organizer does not allow overlapping reservations. Cancel the other seat first.

"The registrant has a meeting that overlaps with this session."
You have a meeting or meeting request at the same time. Cancel or reschedule it, then reserve again.

"Your RSVP was not confirmed"
The organizer declined your request or your registration. Contact the organizer if you think this is a mistake.

"Something went wrong"
The app could not reach Brella. Check your connection and try again.

Reserve seat is missing on a session that needs registration
The session is full or closed, and the organizer hides the button in that case.
