Prepare for a virtual meeting

Virtual meetings run in a video room inside the mobile app or the web app. Test the room before your first meeting so the call starts on time.

What you need

  • Mobile app: iOS 15.6 or later, or Android 7.0 or later.

  • Web app: a recent Chrome, Safari, Firefox or Edge that allows camera and microphone access for the web app.

  • Camera and microphone access for the app or the browser.

  • An internet connection.

The video room runs on Whereby and loads inside Brella. The in-room controls (mute, camera, screen share) are Whereby's.

Allow camera and microphone access

Mobile app: the first time you join a call, your phone asks for camera and microphone access for the app. On iOS the prompts read "Grant your camera access so you can turn on your video during meetings, upload pictures, or scan QR codes." and "Grant your microphone access to allow you to speak during 1:1 video calls with other event participants." Select Allow. If you declined earlier, turn both on in your phone's settings for the app.

Web app: the browser asks for camera and microphone access when the room opens. Select Allow. If you blocked them earlier, select the icon to the left of the address bar, set Camera and Microphone to Allow, and reload the page.

Web app in a window 1024 px or wider: the room opens in a separate pop-up window. Allow pop-ups for the web app. If the pop-up is blocked, the call opens inside the page.

Test the room

You can open the room of any accepted meeting at any time. Opening it does not notify the other person.

  1. Open Networking > Chats and select an accepted meeting.

  2. Select the camera icon next to the message box, or open the ⋯ menu and select Join video call.

  3. In the preview, check that your camera shows your image and that the microphone picks up sound.

  4. Leave the room.

If the camera icon is missing, both you and the other person attend in person. Use ⋯ > Join video call instead.

Check your setup in the app

Open Account > Troubleshoot. The checks include Internet connection, Camera, Microphone, Notifications and, in the web app, Browser. Items under Needs attention show what to fix: Allow asks for the permission, Open Settings opens your phone's settings, and How to allow lists the browser steps.

Microphone appears only at virtual and hybrid events, and not if you attend in person. It never moves to Needs attention: it shows Allowed, Not allowed yet or Blocked with no fix button. If it doesn't show Allowed, allow access as described above.

Good to know

  • The room stays open until 2 days after the event's last day.

  • You get a push notification 5 minutes before a meeting with a time slot. Turn on notifications in Account > Notifications. See Meeting and chat notifications.

  • In the mobile app and in browser windows narrower than 1024 px, the room hides Whereby's participant list and chat. Use the Brella meeting chat to send messages.

Troubleshooting

You seem to be offline (shown above the message box)
Your device has no connection. Reconnect to Wi-Fi or mobile data. The chat shows Checking connection... while it reconnects.

The room shows no video or no sound
Check that no other app is using the camera or microphone. In the mobile app, check the app's permissions in your phone settings. In the web app, check the site permissions in the browser and reload.

Browser out of date (shown in Troubleshoot > Browser)
Update your browser, or use a recent Chrome, Safari, Firefox or Edge.
